If you're planning to switch from Freshdesk to Zoho Desk, the short version is this: you'll cut your per-agent bill by more than half at every comparable tier, your tickets, contacts, and knowledge base articles move over with a built-in tool, but your automations and business rules do not. You rebuild those by hand, and it takes a few working days, not a quick afternoon pass.

Why teams make this move

Freshdesk's cheapest paid plan, Growth, costs $19 per agent per month billed annually. Zoho Desk's cheapest paid plan, Express, costs $7. That gap holds up the ladder: Freshdesk's Pro tier is $55, Zoho Desk's comparable Standard tier is $14. Freshdesk's Enterprise tier is $89, Zoho Desk's Enterprise tier is $40. A 10-agent team on Freshdesk Pro paying $550 a month would pay $140 a month for Zoho Desk Standard, a difference of $4,920 a year.

Zoho Desk also has a real free plan. Up to 3 agents get ticketing, customer management, a help center, and default SLAs, with no end date. What ports when you switch from Freshdesk to Zoho Desk

Zoho runs its own migration tool, called Zwitch, built specifically to pull data out of Freshdesk. According to Zoho's own migration guide, Zwitch moves over:

  • Tickets, including the full thread and comment history
  • Contacts, converted into Zoho Desk end users
  • Companies, converted into Zoho Desk accounts
  • Knowledge base articles (Freshdesk Solutions become Zoho Desk categories and sections)
  • Custom fields and attachments

That's the core of what a support team needs to keep operating on day one: the ticket history, who the customers are, and the help center content they've already written.

The catch is the file format. Zoho's own migration guide says it accepts Freshdesk data in XML only, not JSON. Freshdesk's quick CSV export from the Tickets tab won't work here and also skips full conversation history and archived tickets by design. You need Freshdesk's account-level export instead, which you can find under Admin, then Account Exports, in your Freshdesk portal.

What doesn't port: automations and business rules

This is the part teams underestimate. Zoho's own migration documentation lists tickets, contacts, companies, articles, custom fields, and attachments as what Zwitch moves. It says nothing about business rules, ticket automations, or workflow triggers, because they don't come across.

If you switch from Freshdesk to Zoho Desk, plan to rebuild your routing rules, SLA escalations, and canned-response triggers from scratch inside Zoho Desk. The good news is Zoho Desk's automation layer, called Blueprints, is arguably more capable than Freshdesk's once it's set up: it supports multi-step, cross-department processes with conditional logic, not just single-trigger rules. The catch is that Blueprints sits on the $23/agent/month Professional tier and up, one step above the $14 Standard tier this guide uses as Freshdesk Pro's price match, so factor that into your real cost if you need it. The added capability also takes longer to configure, so rebuild and test your rules in Zoho Desk before you cut agents over, not the week after.

The AI tradeoff

Freshdesk's Freddy AI Agent handles automated email replies and is metered: 500 sessions come with a paid plan, then $49 for every additional 100. Zoho Desk's equivalent, Zia AI, includes basic generative reply assistance from the Standard tier up, but its stronger tools, Answer Bot, sentiment analysis, and anomaly detection, are locked to the $40 Enterprise plan. If your team relies on Freddy for automated replies today, check which Zoho Desk tier covers that before comparing sticker prices. The cheap Zoho Desk tiers don't replace Freddy like-for-like.

Live chat is a separate consideration too. Zoho Desk needs the standalone Zoho SalesIQ product for live chat, and that's only bundled in from Enterprise up. If your Freshdesk setup includes live chat on a lower tier, factor SalesIQ into your real cost comparison, not just the Desk price.

The Zoho ecosystem tradeoff

Zoho Desk's biggest advantage outside price is how it plugs into the rest of Zoho's suite. Teams already running Zoho CRM, SalesIQ, Contracts, or Analytics get support tickets connected to sales and account data with no third-party connector and no extra license. That's a real advantage if you're already in Zoho, or plan to be.

It's a smaller advantage, or even a wash, if you're not. You'd be trading Freshdesk's tighter, simpler interface for a support tool that's part of a much larger, more text-heavy suite. Support teams that value a clean, minimal agent view over deep ecosystem ties may find Zoho Desk's screens busier than what they're used to.

Should you switch?

If you're a small or mid-size team watching every dollar, or you're already paying for other Zoho products, the cost delta and the free plan make this an easy call. Zoho Desk covers the same core job, ticketing, a customer portal, and reporting, for a fraction of the price, and your tickets and knowledge base move over with Zoho's own tool.

If your team leans hard on Freddy AI Agent for automated replies, or you've built a lot of custom Freshdesk routing rules, plan for a slower cutover. Neither one blocks the move. They just mean setup runs days, not minutes.
